Who can apply?

Postgraduate, Full, or Fellow members in their second year of membership and beyond can apply and they must be actively involved in the organisation of the meeting.

How do I apply?

To apply, please download, complete and send back your application together with a draft programme. Completed applications should be sent to events@physoc.org. Informal enquires can also be sent to this email address as well.

When can I apply?

There are four deadlines per year; 31 March, 30 June, 30 September and 31 December. Members should apply by the deadline that is at least three months before the meeting is due to be held. For example, if the meeting is in February, an application should be submitted by 30 September.

What is the review process?

Awards are made by competition and not all applications will be funded.

Applications are reviewed by the Society’s Events Team within four weeks of the closing date.

They will make a recommendation to the Chair of the Society’s Scientific Conferences Committee.

The review will assess applications according to the following criteria.

Criteria

The reviewers will evaluate applications according to the following criteria:

 

Scientific Quality and Relevance (20%)

The proposed application and programme should demonstrate strong scientific merit, with a clear focus on advancing knowledge in the physiological sciences and relevance to the Society’s aims and priorities.

 

Clarity and Feasibility of the Proposal (20%)

The application should include a well-defined meeting programme, including objectives, format, timetable, and use of funds, and demonstrates that the event is realistic, well organised, and deliverable within the proposed timeframe.

 

Value for Money and Appropriate Use of Funds (20%)

The requested funding is justified, represents good value for money, and is allocated solely to eligible costs that directly support the scientific programme.

 

Equality, Diversity and Inclusion (20%)

The proposed programme should demonstrate a clear commitment to equality, diversity and inclusion, including balanced representation of speakers (career stage, gender, and geography) in line with the Society’s policies and targets.

 

Impact and Benefit to the Physiological Community (20%)

The meeting should show clear potential to benefit the wider physiological community, for example through knowledge exchange, networking opportunities, support for early career researchers, or dissemination of outcomes beyond the meeting itself.

Conditions of the award

If awarded, as a condition of the support, you are asked to:

  • Badge the meeting, session, speaker and/or prize as ‘supported by The Physiological Society’ with the relevant Society logo.
  • Display The Physiological Society logo, which will be provided.
  • Send a report for consideration for publication in Physiology News or The Society’s blog including photographs.

Failure to do so may result in future applications not being considered.

The Physiological Society offers financial support of up to £750 to assist with the independent organisation of scientific meetings.

Applications are reviewed four times a year, and early submission is strongly encouraged to allow sufficient time for assessment at least six months before the meeting takes place.

Eligibility and Use of Funds

  • Funding is available to individuals only and is not intended for use by cognate societies or commercial organisations.

  • Funds cannot be used to cover catering or venue costs and must be used to support the scientific programme.

  • If multiple applications are received for the same meeting, only one application will be considered.

To be eligible:

  • At least one applicant must be a Postgraduate, Full, or Fellow Member of The Physiological Society and be actively involved in organising the meeting.

  • Applications must be submitted by a deadline at least six months prior to the meeting date (e.g. for a meeting in February, applications should be submitted by 30 June).

Conditions of Support

Recipients of funding are required to:

  • Acknowledge support by branding the meeting, session, speaker, or prizes as “supported by The Physiological Society”.

  • Display The Physiological Society logo (to be provided).

  • Submit a post-meeting report, including photographs, for consideration for publication in Physiology News or on the Society’s blog.

Applications are considered on a competitive basis, with deadlines on:

  • 31 March

  • 30 June

  • 30 September

  • 31 December

Our journals may also invite reviews at their discretion.

Equality, Diversity and Inclusion

The Physiological Society is committed to advancing equality and diversity within the physiological sciences. Meeting organisers will be asked to:

  • Commit to an aspirational target of 50% female speaker representation, with a mandatory minimum of 33%.

  • Work towards fair geographical representation and balanced participation of both junior and senior researchers.

  • Ensure meetings comply with the Society’s policy for a balanced and diverse programme of speakers.
